Question

Lock Word Document While Editing

asked on April 7, 2023

We've had a user report that Word documents are not locking while they are being edited.  I'm sure it's a simple setting, but I can't find it.  Where can we find this?

This hasn't been a problem until very recently, and they only thing we've done to the system is upgrade to Laserfiche 11.  Not sure if this is related but seemed worth mentioning.

Thanks!

Since you said it is happening one way for the user and a different way for yourself, maybe compare the settings on this page between the two of you?

I noticed when I mark the option to open the electronic document in a read only state, it doesn't lock the document in the client.  Word will initially give an error about it being read-only, but it lets me override that.  After it is overridden, I can make edits, and it continues to remain unlocked in the client.  When I close the Word window, I get the prompt about whether or not to save it as a new document in the repository.  I'm not saying for sure this setting is the cause of the behavior differences you are seeing - but maybe it'll point you in the right direction.

Good luck!

To force a lock on the Word Document, check it out.  When you are done editing it, check in it to update the document in Laserfiche and unlock it.

There isn't any setting that controls this, client applications should automatically lock the document when the user begins editing. Can you clarify what application the user is using (e.g. web client, Windows client, Office Plugin), what portion of the document they are editing (metadata or the Word component) and what makes them think it is not locked correctly?

This is happening with the Windows client and works as expected for me.  However, I looked at it with the user and word documents don't lock for her; they  seem to download locally for her when she makes edits, and she is prompted with an option to overwrite the repository document with the local version of the word document when she saves.  I can't find a user setting that would drive this behavior.

Thanks!
