Reassigning Tasks in Laserfiche Cloud - How Does It Work?

Hi All,

We've created a fair few processes in Laserfiche Cloud now, but one thing I can't get my head around is the permissions required for reassigning tasks.

There doesn't seem to be a lot of documentation on the rights required for this (please correct me if I've missed it!) but from what I've found there's basically two levels:

  • Anyone with the "Process Administrator" account level right can reassign all tasks for all processes, including tasks that are currently unassigned (i.e. assigned to a team or multiple people)
  • Users without the "Process Administrator" right can only reassign tasks which are currently assigned to them, and they can reassign these tasks to any user of the cloud account

 

As far as I can see, there's no way to grant rights to reassign tasks on an individual process level (the equivalent of the "Business Manager" right for on-premise systems). Is that correct?

Also, we have a process where we do not want users to be able to reassign the tasks. I can't see any way of doing this currently however?

Appreciate any feedback anyone might have on the above!

@████████ Hi Dan! Wanted to provide an update here to let you know we just released a few enhancements that address both of these scenarios.

First, we’ve expanded team manager permissions to allow them to reassign tasks within their own teams. Additionally, we’ve added a new setting in the Business Process Designer that allows process designers to enable or disable reassignment for a specific task when it’s assigned directly to a user.

The user rights would be assigned in Teams. Open Teams Under Business Process, Users can have the rights of Viewer, Analyst, Team Manager, Team Developer.  Look at assigning Manager rights to the user to give them access to Reassign Tasks assigned to the team

Thanks Steve, from my previous testing assigning any level of these rights didn't seem to make a difference to how reassigning tasks within the team worked, but maybe I missed something. I'll give it another go.

Hi All,

We have recently updated the Team Analyst role to also be able to re-assign the task of a process as they're also able to see the underlying data. Please apply this role to any users or managers that may need to do any re-assignments.

Hi Tesia,

After assigning a test user the Team Analyst role, the user does not seem to be able to assign tasks from the team to other users.  Only to themselves.  Is there more detail regarding what else is required to be able to have a user assign team tasks to other users?   Full license vs Participant vs Community, Account PA settings?

Hi David, from my tests, a user should be able to reassign tasks if they have the Project Analyst role, but only for tasks assigned by a Business Process in that project. In your test, was the process in a project owned by that team, a different project, or in the Global space?

Confirming what David Cox described. The only setting in Laserfiche Cloud that enables a user to reassign a task that is currently assigned to another user is the Process Administrator access right.

Hi All,

We're now nearly three years on from the initial post and there still seems to be no real clarity from Laserfiche on this. As both Ryan and David have said above, giving the Team Analyst role does not allow users to reassign tasks.

The only way for users to reassign tasks from the "Tasks" area of the system seems to be to grant them Process Automation Admin rights, which is definitely not a viable solution.

I have found a temporary workaround, which is to grant "Access to Process Automation" and "Process Manager". This still doesn't allow users to reassign tasks from their tasks area, but does mean they can access the "Monitor" tab within business processes and reassign tasks from there.

Thankfully, for this customer they only have one process so far, so this works. As more teams come onboard however this will not be a viable option, as we can't have the different teams being able to access each others tasks and processes.

Could we please get some input from Laserfiche on this? This should be a very basic feature of process automation, and is very easy to configure in Laserfiche self-hosted by assigning the Business Manager right. The equivalent functionality doesn't seem to exist in Laserfiche Cloud.

Hi Daniel, thanks for your patience. From my tests, it looks like a user should be able to reassign tasks if they have the Project Analyst role, but only for tasks assigned by a Business Process in that team's projects.

With that said, I can see where there would be a scenarios where the task reassignment may be needed for tasks assigned outside of a team's projects. In your scenarios, are the processes typically within a project owned by the team the task is being assigned to, in a different project, or in the Global space?

Kathleen, could you clarify this portion of your testing?

Can an analyst within a project reassign tasks that are already assigned to someone else, similar to how a Process Admin at the global level can?

Hi Tommy,

They may be able to, assuming the following is true:

  • The user is a member of a team, and within the team they have the Project Analyst role
  • That team has a project created under the team
  • The Business Process assigning the task is created inside of that project

 

In that scenario, where the team "owns" the Business Process in one of their projects, a user with the Project Analyst role can reassign tasks from that process. However that same person may not be able to reassign tasks that come from processes in other projects.
