Email Archive Processing Same Email Every Hour

We created an Email Archive profile that monitors an O365 Inbox. If successful or not it moves it to Inbox\Processed folder. We have another product that monitors the Inbox\Processed folder and imports it into that system. We noticed that some emails were getting imported into the other system multiple times. We also noticed that they were imported every hour, which is what the Email Archive profile was set to run at.

The only thing we can think of is that Email Archive is trying to process the same email multiple times. I do not know if it is not releasing the email correctly or if it is moving the email back and forth between the two folders.

Has anyone experienced this before with Email Archive?

We are using version 10.4.0.135.

Blake, what's getting you is that your EA profiles have this option set to false:

  1. Retrieve unread messages and set their status to read: Select this option if you want Laserfiche Email Archive to change the status of messages it's processed to "read." You will still need to either delete or move processed emails (configured under Post-processing) regardless of whether messages are set to read or not.

 

It's the "RetrieveUnreadEmails="true|false" parameter in the ImapServerSettings node of the profile XML.

When enabled, there's no issue monitoring "Inbox" and archiving to a subfolder like "Inbox/Archive" because processed messages get marked as Read and ignored thereafter even if they're in "monitored subfolders".

I made a note on your support case with additional details that should get passed on to your SP shortly.

One interesting note on this issue. I had removed all of the profiles from the profile server on the folder, but did not restart the services. This morning we were once again notified that there were duplicates being created. I have since turned the service to Manual and we are not seeing duplicates so far, but it's almost like Email Archive is having a memory issue.

It appears that this may be a case of EA processing subfolders of the folder set up to be monitored. It would be nice if there was an option in EA to choose whether or not subfolders of the Monitored folder be monitored as well.

It wasn't, so I filed Email Archive feature request # 398619: "Support profile config option to enable/disable monitoring email subfolders"

That's ...surprising. I have multiple profiles set to monitor Inbox/Folder A and move the processed emails to Inbox/Folder A/Processed and i'm not seeing duplicated messages.

We had a few things going on with our process.

EA was set to Monitor the Inbox and then move the email to a subfolder of the Inbox (Inbox/ABBYY - FlexiCapture). FlexiCapture was monitoring that folder and then moved it into a subfolder named Processed (Inbox/ABBYY - FlexiCapture/Processed). An hour later EA would kick off again and start processing the emails in the Processed folder, which would cause a duplicate to show up. And the process would keep looping. I wasn't aware that the folder that was set up to be monitored in EA also included the subfolders. It seems counterintuitive to the other LF products, but that's the reason for the feature request above.

Hi,

The option for emails to be marked as "read" is disabled, however, it doesn't seem to honor even when we move the email to a subfolder. Any idea what could be happening?
