Question

[Cloud] What Security Right allows users (managers) to reassign claimed tasks within a team?

asked on August 8, 2022

I created a team called Work Orders and configured a Forms process to assign tasks to this team.

Members of the team can claim and complete tasks with no problems.

However, no one on the team can re-claim or re-assign tasks that have already been claimed by members, even if the user has every role selected for the team (including team manager).

What security right is necessary to allow users to reassign tasks that have already been claimed (or release the tasks back to the team bucket)?

Hi All,

We have recently updated the Team Analyst role to also be able to re-assign the task of a process as they're also able to see the underlying data. Please apply this role to any users or managers that may need to do any re-assignments.

Let me know if there are any questions!

Thanks.

Team Manager should be able to re-assign any claimed tasks under Team Tasks > Assigned Tasks.

Is it possible they're looking at the wrong page/task?

One thing we run into sometimes is that people new to the processes either:

  • Look in Unassigned Tasks, where the claimed task is no longer visible
  • Look in Completed Tasks, which only shows completed items that can't be reassigned

What type of license does the user have?

They are full users.  This customer doesn't have any participant user licenses.

It looks like this feature isn't available yet in Cloud?  I had to give them Process Automation > Process Administrator rights for them to be able to reassign these tasks.

I may just have to open a ticket with support on this one

Interesting. Does Cloud have the Business Manager role? With self-hosted that gives them more rights without giving them the ability to edit a process.

Hey Grant,

Did you ever get an answer on this one? We've been trying to achieve something similar but I can't understand from the documentation whether this is even possible. As Jason mentioned the "Business Manager" role for on-prem is effectively what we're looking for, but that role doesn't exist in cloud and I can't find any combination of rights (other than granting them process admin rights across the entire account - not ideal) which allows this.

Be interested to hear if you ever managed to solve it!

Cheers,
Dan

Hey Daniel, unfortunately assigning them process admin was the only work around I could find.  There might be a better way now though as I haven't really looked into this in a while since we ended up changing the way this specific Work Order process functions.

Instead of assigning Open Work orders as tasks to individuals or the WO Team, we created an Open Work Orders table and changed the WO form to allow users to select from a list of open work orders and either update, close, or cancel the order.

This way we didn't have to worry about someone claiming an open Work Order task and then restricting anyone else from interacting with it.

It was confirmed by Laserfiche Support that this is a bug and they would look into it (with no timeline for fix).  The workaround is to make the "Manager" a Process Administrator for now.

I have found that if you make the user a "Process Manager" they can reassign tasks in the process monitor, but they still do not see the options in the Team Task listing to reassign as shown in the previous screenshot.

It would be preferred if a setting was present at the Team/Project level to allow this access since both Process Manager and Process Admin allow access to all global resources where we would prefer to keep visibility to a Team/Project level.

Hi Tom, do you know what the bug number was for this issue, or whether it was ever addressed? We've had a few clients report this issue now so I'd like to follow it up with support. Cheers!

I was unable to locate a specific support case or bug ID regarding the reported issue from this thread and mentioned by @████████ , if you have that information, please let me know so I may follow up on it.

As for what I do know at this time, we have filed a work item (496304) to investigate the matter reported by @████████where a "Process Manager" is able to re-assign tasks from the "Monitor" page, but not from the Home > Tasks page.
