Question

how do i download a document that shows all annotations?

asked on May 4, 2022 Show version history

I've added a sticky note annotation to a document, but when I download the document the sticky note does not appear. How do I download the document with all annotations visable?

This is from the Windows Client:

File > Download > Images > Options - there is an option in here to "Convert annotations into PDF annotations".  If that option is enabled, and you have told the Download Images to saves as type=PDF then it should be working to download the document and include the sticky note and any other annotations in the built-in annotation functionality that PDF files have.

I usually use the web-client, but that option is still selected yet it doesn't show in the download. Is there something else I'm missing?

Unfortunately, I don't personally use the Web Client, so I don't know if there are differences in how it functions and how it creates PDF documents.

The only suggestion I think I could make would be to double-check that it's processing the download as a PDF and that your computer is set to open PDFs in Adobe Reader or Acrobat (and not within a browser like Edge or Chrome as those PDF viewers tend to miss many of the less common functionalities or at least handle them in weird ways).

I opened that sample I did for the screenshots in Acrobat, Reader, and Edge and all of them showed the sticky note.  So I'm guessing the program opening the PDF isn't the problem.  If that is eliminated, then I would guess isn't downloading the file with the annotation in place, and I'm not certain why that would be if you have it set to download ad a PDF with that option marked to retain it as a PDF annotation.

Hopefully someone who is familiar with the web client will have a suggestion.

Are you downloading the image pages as a PDF? The exported PDF will include the annotations if you have the "Convert annotations into PDF annotations" option enabled.
