Question

Only 20 collection or table fields can be retrieved at one time [0719-WF1] [0411-WF0]

asked on April 20, 2022

I am working on a workflow that is retrieving variable values from a Forms process and when I try to publish the workflow it gives this error:

The error does not present when I validate the workflow, only upon publishing. The Forms process does have a lot of field values that I am trying to retrieve all at once, but I am trying to prevent a lot of calls to retrieve them so it isn't so taxing on the system. I am guessing this is expected behavior?

Workflow version 10.4.2.246

Do you actually have 20 collections/tables? There is a bug where if you have multiple forms selected in the selector retrieve, it counts them more than once. If you unselect the other forms it will sometimes go away. Otherwise you will need multiple retrieve activities.

John's recommendation was a great help!

My Community Event Permit "Laserfiche Form's form" had several "old versions" of the Community Event form (not being used in the final process) created as the process evolved.  Those older forms were showing up in my field selection in Workflow.  So, based on John's info above, I went into the Form (in Laserfiche Forms) and deleted the ones not being used in my process.  Saved the process in Forms, and then refreshed my Community Event Permit Certificate creation workflow (I refreshed the selected form and the desired fields).

Saved the workflow and published.  No more error!

Thanks for this solution.

A final thought, if you want to save the work you have done on all the forms created (even the ones you scrap in a process) as you work on a process in Forms - you can always save a copy of your process as a backup before deleting any forms.

I name them something like:

Archived - Community Event Permit Application Beta - 06/28/2022

If you are like me, I like to save my trials and errors.  There are good ideas in every process.  Being able to revisit a beta process can be helpful.

Playing with this in the current version 11 of Workflow, I have found that the first time you are setting which variables to retrieve it only selects the ones you select in the Choose Fields dialog window, but if you go back into it and just close the window, it selects all instances of the fields you had chosen before for each form.

It's a UI quirk due to the fact that a field can be present in multiple forms. It still counts as one field.

I don't believe it is working that way. I just edited 2 different workflows with up to 13 Retrieve Variable activities in each. If I left each instance of a variable selected per form, it gave the error message that you can only have 20. Once I went back in and unselected all but one instance of each variable it allowed me to publish.
