Workflow Not Saving Files Correctly

Hello,

I have a workflow that somehow used to work.  

We have an *incoming folder where the workflow begins.  

We have a Template that includes the following:

FirstName

LastName

GraduationYear

 

The Workflow looks like this:

I want to get the student's information from the template.

Next, I want to rename the file entry to the StudentLastName, StudentFirstName.

Then, I want to move the file entry to the folder that is the Graduation Year.

I am getting emails for these but when I look for the folder (Graduation Year) it is not there.  I only see my file named ",".  

I am not sure what caused it to break but I am hoping someone can help.

Found out what the problem was.  The Workflow System User didn't have permissions to read the fields.

Once this changed, it worked.

A few questions:

 

1. What is the trigger / starting rule for the workflow?

2. What is going into the Incoming folder?

3. How are the documents getting to the incoming folder?

Hello Troy,

The trigger is the folder arriving into the *incoming folder.  If it is in there already and we apply the template name of CUME or if the file is moved into the *incoming folder and it has the template name of CUME.  All of these are triggers.

We have a copier setup to scan and upload to that folder.

Got it.

So a document is scanned into the incoming folder VIA a multifunctional device.

How is the student info getting populated?

 

If it worked before, you could look at the logs in workflow to see what is / not going on.

There seems to be a disconnect in the student information being provided, that is why your file name is "," because it doesn't know what the first and last name data is.

 

Make sense?
