Question

generate text on Attach Electronic Document not working

asked on January 4, 2022

I am trying to use Workflow to Attach Electronic Document that I am getting using the For Each File activity. It is an RTF file type. I need the text from the RTF file so I have signed into Laserfiche repository as the user in my connection profile and set ‘generate text’ in the option for that user. No luck.

I had this working months ago, but have upgraded to version 11 since then….it’s a point of interest but maybe nothing. Previously the text just imported in with no pages since it was an RTF file.

Any suggestions on getting the import rules to work again? I tried changing them to generate pages for RTF file types and it has ignored that change.

Thank you!

Yes, on Import Agent, when you are configuring your profile, there is an section called "Processing" which includes the ability to select to "Retrieve text" and that has a sub-section to "Use OCR if no text is available".

I use Import Agent to import a bunch of documents that are saved to a network folder via some other processes/automation/staff actions.  I have Import Agent put everything into a central location, and then I have a couple workflows that run on those documents after they are imported.  Works fairly smoothly.

That setting you showed, the 'Generate searchable text' option enabled in Tools>Options>New Documents>Settings, only applies to documents created within the Client, it has no impact on documents created within other channels such as within Workflow.

Workflow doesn't really have native OCR functionality built-in because it's very resource intensive, which is why they made DCC to distribute the OCR load across multiple machines.  Here's a post that talks about using DCC to schedule OCR of documents: https://answers.laserfiche.com/questions/79159/Best-approach-to-workflow-OCR-overnight#103261

That being said, I'm surprised that a simple text format such as RTF doesn't automatically include the text, but if it isn't working, I'm not aware of any way other than the Schedule OCR (via DCC) activity to generate text via Workflow.

Of course, if anyone else knows better, please correct me. smiley

The thing is it used to work and now it doesn't....famous last words...

I wanted to check here before I give Import Agent a try...I'd rather not if possible...

Any idea if Import Agent uses a profile I could set to generate text on import?

I still don't get why this stopped working. I'll blame it on version 11 since literally nothing else has changed. I think I have my solution. Thanks Matt for the confirmation!

Yeah, I have no idea either.  But I can confirm that Import Agent is quick and efficient so it should be a good solution.  I'm glad to be of assistance.
