Use Workflow to find employees whose most recent COVID Test document is older than 7 days

Hello,

We have a customer who might be implementing a COVID vaccine mandate, and if an employee chooses not to get the vaccine, that employee will need to provide a COVID test result every 7 days. So, this customer's HR team would like to have Laserfiche send emails daily with a list of employees whose most recent COVID test document is older than 7 days.

Within Laserfiche right now, we have folders for each active employee, and all of their employee files are contained within their employee folder. On our HR template, we have a 'COVID Test' document type - that's how we can identify these particular documents. We also have a 'Vaccination Record' document type - any employee who has this document in their folder can be assumed to be vaccinated and can be excluded from this process.

So what I'm thinking initially is use workflow to find each active employee folder - easy enough. Then, for each of those folders, determine if we need to look for 'COVID Test' documents (by whether or not they have a 'Vaccination Record' document type). If no 'Vaccination Record' document, then we need to identify the most recent 'COVID Test' document for this employee and determine if it's older than 7 days, and that's where I'm not sure how to proceed.

Anyone implemented something similar to this already? Looking for some insight as how to other VARs have implemented something like this.

We have done a lot of these. It is best to record the test date in the template as you import the documents so that you can ensure your workflow is accurate. Otherwise your looking at going off the created date of the document.

A form where employees can upload their test results with the test date, or staff can upload many test results in bulk with test dates is helpful too.

To get what your looking for simply use the date calculator activity to subtract 7 days from today's date. For example, if I search for anything with a date of Today-7 or greater, and I don't find anything, I know I am missing a test result.

A form for employees to submit their test results is a good idea - might work better than 1 or 2 people in HR scanning in a bunch of tests and filling out fields like last name, first name, and test date.

What other fields are in this document template?  Are these documents in different folders?  What information does the user want in the email, and where is it stored?
