We have a client that wants to immediately cutoff a document when it is filed and start a standard retention schedule when the document expires at a later date. We thought that the Alternate Retention Schedules would be perfect for this - have the original schedule be cutoff upon filing and set X number of years after Expiration as the alternate retention schedule. However, we have found that alternate event dates cannot be set in Workflow making this solution not useable for an automated process.

As a possible workaround, we've found that we can set the initial retention schedule based on file date and cutoff the document right away. Then when the alternate retention event happens, change the retention schedule to be the "correct" retention and start the standard retention schedule. I don't love this idea since it will look to the user like the document has the completely wrong retention schedule set on the document just so we could cut it off right away.

Another workaround is to set users access rights such that they cannot edit or move the document and kinda fake the document being cutoff, but since there are documents within the same folder I want them to still be able to edit we would have to apply rights on the document level which is not ideal.

Are there other ways I could accomplish this? Am I just not seeing the ability to update alternate event dates in workflow or is this intended behavior?

Thanks,

Libby
