Find where shortcut points to

posted on October 6, 2021

Looking for a way to find "empty" shortcuts.  Apparently some documents have been deleted, but their shortcut remains?

With some more questioning to the department with the issue, I found out that they put in the name of the document incorrectly, then just renamed the document and moved it back to the place where the workflow would pick it up again, therefore they had the original shortcuts to the document in the wrong places, then the new shortcuts in the right places.  I was able to find the original shortcuts and delete them or move them to the correct place.  They still may have some duplicate shortcuts, but duplicates are better than none.  There were about 43 of them.

Actually, I got more information now.  Shortcuts are created, then the main document is renamed and moved, but the shortcuts stay the same.  So if someone inadvertently put in 2022 instead of 2021, then corrects it on the main document and moves the document to year 2021 and deletes the 2022 directory, the shortcuts are still named and in a 2022 shortcut directory.

If you are with me, I'm saying "Good grief."

Right, shortcuts have their own names and locations that won't be updated by changes to the target entry. It would be possible to have a workflow that updates the names of shortcuts when the original entry is renamed. I assume it's an automated process that creates the shortcuts in the first place?

Hi Katy,

I think I've run into this in the past, and restarting the Laserfiche server service would fix it for me. If I remember correctly, sometimes the shortcuts would appear to be named the same way a deleted document is named in search results, users would get confused and ask what those entries were, and I'd spend a bunch of time trying to figure out what was going on with those entries before getting exasperated and restarting the server service, which ended up fixing it.

If that doesn't fix it, what happens if you try to open one of these shortcuts? I've had customers in the past create their own workflows that move image pages between entries, but forget to check the box in the Workflow Designer that deletes an entry if all image pages have been removed. Then there's still a shortcut remaining to an entry with no image. If that's what's going on, you can use the advanced search pane to find search for documents with no image pages and see if you can narrow down which source documents are the problem.

What do you actually see? The Laserfiche server deletes shortcuts when the target document is deleted.
