Question

Task Reminders Only for Assigned User/Team

asked on September 27, 2021 Show version history

Hello,

I recently had a Reminder email go out that was set to Task Participants go out to about 30+ people which leads me to believe I misunderstood the meaning of the "task participants" option.

When I configured this I assumed that meant whoever the task was assigned to, whether it be a user or a team, but instead it seems to have sent the reminder to everyone who has permission to access the task.

For now, I've changed this to send the email to the previous submitter since that works for this particular scenario, but it would be far more helpful to send the reminder to who the task is assigned to (i.e., if directly to a person, then just that person, if to an entire team, then the entire team, etc.).

UPDATE: The reminders do work as expected, and some user activity with regard to the task assignment actually caused the unexpected behavior.

Hi Jason,

Selecting 'Task participants' should send user task reminder email to only users who are assigned to the task as you expect. Could you provide more information on who the task was assigned to and who else have received the reminder email?

Okay, based on your response I took a closer look at the instance history and it does seem like it was following expected behavior after all.

Apparently someone reassigned the task to a team right before the reminder was sent. The reminder then encountered an SMTP error because one of the team member's emails no longer exists and their account is disabled.

The email seems to have gone to all Team members, managers, and administrators, so it looks like things were working as expected.
