Question

Question

place a task in progress and at the same time send a email notification to client

asked on September 1, 2021

Hello

I am working on a form that requires a staff member to request more information from a client. The email is auto generated using process design.

The decision on the task cannot be made until the information is received back form the client.  How do I hold the task in draft until such time as a response is received from the client.

Thanks

Chris Edwards

Tasks are automatically put into the inbox until the user selects approved or closed.

An email sends quickly so no reason to perform both at the same time. Send the email, then assign the task. This way, if the email fails, the process will suspend at that step before moving onto the task.

If you use a parallel to perform both steps simultaneously, it would assign the task even if the email failed to go to the client.

The task will stay in your inbox by default until you confirm the response from the client by using one of the customizable action buttons.

Hello

Thank you for your response.

The task is open by the staff and she reviews to determine the status.  If additional information is required the status "additional information is selected" and the task has to be held open until the information is received.

Upon receipt of the information, the staff member will determine whether to change the status to "approved" or "closed"

So the email is auto-generated requesting additional information and the task needs to be put into draft in the LF inbox until the information is received and the staff member can re-open the task and complete it.

Hello

Thank you.  I did not realize the task would be put into draft until approved or closed.

To the inbox yes, tasks essentially wait on users to perform a task and input their results.

A draft is technically when the user inputs part of the information and saves the information for later without completing the task, which they can do with their tasks.
