Forms Users and the Account Conversion Tool

We need to run the Laserfiche Account Conversion tool for a system to convert Laserfiche repository accounts that are domain linked to Windows Accounts. This system is also using Forms where these repository accounts have tasks assigned to them.

My question is if we run the Laserfiche Account Conversion tool and it converts them to Windows Accounts, will those users Forms tasks and Access Rights be maintained or will they be wiped out and need to be set up again?

Hey Blake,

This is unfortunately the least ideal scenario because falls into a capability gap between the two official conversion utilities. The Account Conversion Tool doesn't cover Forms at all, and the Trustee Migration Utility covers Forms but can only convert repository users to LFDS Laserfiche users. We're aware of the gap and are working on a new utility that should hopefully cover all the cases with full product coverage.

LFC made a custom build of the Account Conversion Tool that added partial Forms support (completed with some emergency custom SQL scripts) to handle this specific case for one customer. It was at least twenty hours of effort to successfully deploy, and it has not been tested or used outside of this one case. As there's not really a better alternative at the moment, I can provide it to you with the clear understanding that it's absolutely "as-is" and Laserfiche Support won't be able to provide any assistance in running or troubleshooting it.

If you're interested, please reach out to me directly. Otherwise, I'd either see if it's remotely possible to have users finish out their tasks, add all the Windows accounts, and re-configure Forms access rights. I know that sounds tedious, but I promise that it's better than digging through the Forms database trying to figure out which tables user SIDs didn't get updated in. You could also wait to see if the upcoming new user conversion utility can address this use case (first beta build targeting LFDS Laserfiche to SAML user conversion was recently completed).

Samuel, than you for the detailed post. That helps answer my questions. What kind of time frame are we looking at for the release of the upcoming new user conversion utility?

I spoke with my colleague who's working on the utility and it turns out repository users -> AD users wasn't in its scope. It might be something we could add though, and we'll look into what that might take next week. 

How often does this scenario come up for you? Do you have other customers using Forms you'd expect would need the same repository users to AD user conversion path?

We come across it all the time. We push our clients to switch to using AD or SAML accounts as we upgrade their systems. Not having that capability in a new utility would not be good, especially since it exists in the current tool.

I would just like to add that the requirement to convert Repository Users to AD with Forms migration using this tool is very relevant and seldom ever would we convert to using LFDS Users.

Conversion to SAML is becoming much more relevant so glad to hear that is on the Road Map.

Is there any update on this? We seem to be running into more and more instances where we're needing to convert LF Server AD users to LFDS AD users, and bring their Forms access along with it.

Please reach out to Laserfiche Support. I believe they may have the necessary scripts to cover these scenarios now, and if so could provide them.
