Question

require signature from form submitter but not other users or team

asked on June 11, 2021

I have a simple procurement form that any staff member could complete, sign, and submit. It would then go to our ED form signature approval. How can I make this happen without assigning a team or users?

Could you explain your process in more detail? I'm confused with trying to collect a signature but not assign that task to anyone.

We are just building our first process. Currently we have 30 staff who at any given time may need to fill out a procurement form When that happens the staff person completing the from would sign it then it would need to go to our ED to sign for final approval. How can the form be signed by only one member but then the task not go to every other staff person to also complete?

I would create the procurement form with a signature field and set it as your message start event form.

Then create a copy of the procurement form called "procurement approval form" and add another signature field to it called "ED signature". In your process, after the message start event, you can add a user task assigned to the ED.

This way, any member of the staff can fill out, sign and submit the procurement form, after which the ED will get a task to review that form, sign it, and approve. If you want, you can make any/all of the fields on the ED approval form read-only so the ED can only add their signature without changing other form fields.

That worked but now the staff signature that they sign on the message start event form does not show up on the procurement approval form.

Make sure the staff signature is set to read-only on the second form.
