Forms/WF-Email User Task

Hello,

We have a customer who built a Form for Inspectors to be notified upon the form submittal of a scheduled inspection.

The Form calls a WF that sends an email to the Inspector and also creates a Calendar Event on their Outlook Calendar.

Process is working great for all but one Inspector, who gets the Calendar invite but is not receiving the email.

IT ran a trace through the O365 Exchange Admin console and sees no trace of the email going to the Inspector.

The only thing that stood out to us, was this Inspectors Display Name in AD was a Short version of their Full 1st name.

Not sure if this would cause the email not to go out, especially since the Inspector gets the Calendar invite.

IT changed the Display name to match his Full 1st name and we are waiting for AD and O365 to sync, but in the meantime I thought I would post this to see if anyone else has seen a similar issue.

Is the email sent by Workflow or by Forms?

Hello Miruna,

Workflow

We noticed the following errors in the LFNotificationService logs, at the time we tested the WF process to generate the Email/Calendar Invite process- "The format of the URI could not be determined"

Not sure if this would be related or not.

It's not related. The notification service is part of Forms, not Workflow. If there is no warning/error on the email activity in your workflow instance, then as far as Workflow knows the message went out because the mail server returned no errors.

How does the display name come into play here? Is Workflow looking up the user's email address in AD by display name? (though, again, if there are no errors on the WF side, it found the user and its email address)

Hello Miruna,

I wasn't sure about the AD field as this was the only thing we saw that looked different.

Yes, there is no error messages in the WF logs, nothing in the O365 Exchange Admin console either.

This same WF is sending emails to other inspectors and they are getting them, but just not one user.

We even deleted the user and synced them back in to LF as well.
