Forms Action History-Links missing at times

Hello,

Customer has an issue with User Tasks that are assigned to people, that when the user opens the task and then looks at the Action History sometimes links to the previous step forms are showing as hyperlink and sometimes they are not.

It does not seem to be matter about Forms Groups, Full Licensed, or Participant user.

The Forms SysAdmin can see the links without issue.

Hi Jeff,

I believe the behavior is by design. There won't be link of previous step in action history if current user has no view right of the submission (e.g. not process admin or business manager/not system admin/not submitted by same user)

Hello Ziyan,

Thanks for the note.

So basically if the user is a Participant user they will not have the ability to view as they can only be assigned submitter roles.

Hello Ziyan,

Wanted to follow up as to how can you determine if a user does not have view rights? Is this something determined by Forms Role.

If Participant Users are part of Team, if one of the user performs a user task, wouldn't all users in the Team be able to see all Action History including Links to previous Tasks?

Hi Jeff,

Forms determine whether a user has view right of a submission based on multiple factors. I forgot to elaborate on team task in previous comment.

For a team task completed by one of team member,

  • System admin/Process admin/Business manager has view right of the submission
  • Team admin/Team manager has view right of the submission
  • Team member who completed the user task has view right of the submission
  • Other team members can view the submission or not based on 'Task Visibility' setting in team option
    • If 'Show team tasks to all team members', other team members have view right
    • If 'Hide team tasks from team member not assigned to the task', other team members have no view right

Note that the logic is checked based on the team of user task in each action history step.

 

So if participant user is part of team of previous task, they are expected to be able to view link to that task in action history when setting is 'Show team tasks to all team members' for the team of previous task.

Ziyan,

  Here is a little more on this issue:

There are 3 users in play here.

User1: In all Teams

User2: Only In Clerk Team

User3: Only in Admin Team

 

A form is submitted to the Clerk Team.

User2 completes the task and it to moves to the Admin Team.

User3 picks up the task, feels there is more info needed, and reassigns task to User2.

User2 complies, then reassigns task back to User3.

User3 completes the task and it goes back to Admin Team.

User1 picks up the task and can not see the 2nd Task, but can see the 1st Task.

All Teams have "Show Team Tasks to all team Members" selected, no members are Manager, all are Participant users.

Hi Joshua,

The 2nd task is considered as a team task when assigned to Admin Team, or picked up by User3 who is in Admin team. 

While when it is reassigned to User2 (step 3), it is no longer considered as a team task since User2 is not in Admin Team. So when it is later reassigned to User3, it is considered as a user task of User3 rather than a team task of Admin Team, therefore User1 may not be able to view the 2nd Task.

Could you try reassign to Admin Team in step 4 (instead of User3 directly) , and then let User3 complete the task and see whether User1 can see the 2nd task now?
