Feature Request: Ability to Assign a Forms Task to Everyone in the Business

posted on May 18, 2021

We have annual Terms and Condition changes, which needs to be acknowledged by all employees in the business, however as Forms is 1 task to 1 user approval this is not ideal.

Is there any scope on the roadmap to allow for multiple users for one task, and once everyone has completed their task the form will continue its process.

I am aware that i could implement a collection in forms, and use workflow to iterate through each value, or use a sql table, coupled with for each values, however i feel like this is more work than should be required to be able to assign.

For this case, we believe the product is better suited to handle each of these approvals as a separate instance as opposed to having one instance give everyone in the organization a user task. Although not currently slated for a release, we have discusses solutions to this case by implementing a "distribution list" or list of users required to submit a form. Once this distribution list was created, it would conceptually give that list of users (everyone in your company in this case) a task to fill out a specific starting form. You as the process administrator could return to this list to see who has filled it out and who still remains. We'd probably allow you to send reminder emails to users who hadn't filled it out yet.

I think our concepts will fit your use case, but keep each instance separate for better monitoring and reporting.

Hi Jared, Thank you for confirming this.

This is something which we see our customers asking for more and more with companies requiring policy updates to be signed by all users and would like to keep it in their DMS Ecosystem. Regulators require you to have all of this documented and easily accessible at short notice so this being in forms with the Reporting side, would be advantageous.

I understand that this is something which is very much in the concept stage, but do we have any ball park figure of when this will be likely to be released, to end users.
