Do I need a workflow?

I'm a little green to Workflow and am unsure if I need one. I've built a form that works like this:

  1. Form A is submitted by employee.
  2. Form A is reviewed by Payroll.
  3. Once Payroll approves, Payroll is to complete Form B.
  4. Form A and B save into Laserfiche Repository.
     

Both forms are built within the same process (labeled as A and B in the attachment). My process diagram is also attached.

PROBLEM: When I try to test the process, I am able to approve the form, but then the second form comes to me as a task and is not open for editing (it's all greyed out).

Do I need a workflow to trigger the second form, or should I be using a different event in the process diagram?

Okay great. So looking at that, my first though is to check the fields and Section they're contained in to see if those are set to read-only.

However, the fact that the inputs aren't displayed at all seems to line up with what Jared was saying because there's essentially two different types of "read-only"

1) Where the input elements are read only (so you see a gray input box)

2) Where the entire page is read only so the inputs are replaced by static text/html (so an empty field is just an empty space)

My guess is you have that user task set with the read-only option. In your process, go to the second user task for Payroll to complete Form B. In the form tab, there is an option for "Make this task read-only for the user it's assigned to". Make sure that is unchecked so Payroll can fill in the form.

Is the task being assigned directly to your account, or to a Team?

Like Jared mentioned, it is likely the read-only setting, but another possibility is that it is being assigned to a team and isn't editable until it is assigned to an individual; the green "Assign to me" button in the top right of the window, or the assign to me button (box with a down arrow in the middle) in the Task view.

Thank you both for your reply. It's currently assigned to me, not to a team (I'm testing it before assigning it to Payroll).

The area in question on the forms tab in the user task is not selected, so I don't think that's the issue.

I appreciate any other suggestions you can offer. Thanks so much for your help!

Can you provide a screenshot of the task in your inbox and the open task window? It could help narrow down what is going on.

Ah Ha! Got it, thanks to both of you. The very top of the form was a 'section' and was set to 'read only'. I deselected and this fixed the problem.

Thanks very much for all the help. This is one of my first forms for this department and there were a lot of moving parts.
