Some staff cannot view annotations

We have a forms process that's saved into Laserfiche. Occasionally elements on the form need to be corrected and I use a text box or sticky note annotation to do so after updating the metadata. However not all staff are able to view this textbox.

Is there something not set up in the security? Where can I check this?

Hi Cathrine,

You may want to check the entry access rights on the repository folder the form is saved to. In addition to being able to Browse and Read, there is an entry access right called "See Annotations" under the "View" section.

Hi Anita,

Thanks for that! I just checked the security and they have the "see annotations" checked for the folder, but when I select a document they only have read/write privileges. Is this a normal set up?

In general, it's not abnormal to have documents with different entry access rights than their parent folders, but it just depends what the outcome you're looking for is. Entry access rights are controlled with scope, which indicates whether the settings you're placing are meant to cascade down through that folder or just apply to the specific entry.

In your scenario, it sounds like the documents in the folder aren't set to inherit the folder rights, which would be the most straightforward way to modify this. If you want to move forward with this, then you could likely just adjust the "scope" dropdown for the existing access rights setting to encompass the documents within the folder.
