Question

Form Uploads break the email???

asked on March 11, 2021

I have a customer that is trying to use the "attachment" option to email uploaded files as part of the business process.  Whenever that option is used, emails will not send.  I tested on our cloud system, and every time the attachment option is used (both in the email service task and when emailing for a user task), the emails fail to send and suspend the process.

On a whim, I then tested this in my on-prem Forms system (10.4.5.282) with the same results, whenever you use the attachments option the emails fail.

I'm almost positive I used this feature in the past, but have no idea what's going on.  Has anyone else seen this or know of a fix?  Thanks for any ideas, at a loss right now.

Have you tested it with other file types and smaller files? This could happen if the attachment is too large to email. We try to catch this via error, but we cannot pre-calculate the exact size of the email with all attachments and body text.

I had thought about that as well.  Unfortunately, I'm just using a 163 KB pdf. so that doesn't seem to be the issue.

What error message did you get when the email service task is suspended?

I'll attach images, but the message "Unable to send an email-please verify the configuration and retry service. . ."  Seems odd since the configuration is correct and the email works as long as you don't use the attachment section.  The second image is showing that both files have uploaded correctly and you can download them from the variables tab.

Are you sending to users with verified email addresses? If the emails aren't verified, the user won't have a valid email address and that task would not have an email to send to.

I see your support case, we'll investigate and follow up there.

Yes to the email question, and thanks, hoping the support case will do it.  Sounds like they have already confirmed this behavior in their cloud environment.  Must be a bug.

@████████,

I can't reproduce the issue with Forms 10.4.5.282 and based on the screenshot attached to the support case for on premise, it seems the email notification server is not properly configured.

@Xiuhong Xiang that was a mistake.  I was testing on a demo system that indeed did not have email configured for Forms.  The help desk and dev team have identified the issue for the cloud system and are working on an update to release to fix this.  Thanks.
