FEATURE REQUEST: Link Options when emailing a Laserfiche entry

posted on January 28, 2021

Currently, our ORG has more than 50% of our employees working remotely.  I am doing quality control checks on all the 2020 records that are about to be placed into Record Series retention folders and find myself emailing people 2-3 times a day with questions to clarify the retention indicators that are on some of the records, if the record doesn't look like it should match the retention indicator.

I am working remotely, but with a VPN connection.  Many of the people I am emailing are not, but I don't know who is and who isn't.

REQUEST:  It would be great if the options for "Send As" that come up when you choose to email an entry to an individual could be either or:

  • Link (just a shortcut type link)
  • File (a copy)
  • Link and URL (a shortcut type link AND a URL address)

This way, I could pick the third option so that I don't get people saying "I can't access the link you sent me".

You might look into using this Trustee Attribute:

[Settings]ExportEmailAttachLinked

Specifies whether linked documents will be included as attachments.

Valid values:

  • TRUE/FALSE

Default value: FALSE

This is found here:  https://www.laserfiche.com/support/webhelp/Laserfiche/10/en-US/administration/#../Subsystems/Default/Content/B_Feature%20Topics/Emails.htm%3FTocPath%3DTrustee%2520Attributes%7CLists%2520of%2520Trustee%2520Attributes%7CExporting%2520and%2520Importing%7C_____4

Unfortunately that's all the documentation available for that attribute, so you'll probably need to test to see it it works for you.

Thanks, Craig.  This is an interesting area of the Administration Guide that I've never looked at.

After reviewing the information and the specific option you pointed out, I'm thinking that it's referring to any entries that are linked to the entry that I've right-clicked on for sending.  Right?  If so, it would add a second link so that there are two attachments in the email I'm sending even though I selected only one entry:  The one I selected, plus the one that my entry has a specific link to.

I'm not sure how it really works and that's why I said you probably need to test it to see how it works.  The documentation is lacking on details.  Good Luck

It is another good option to consider, for sure!
