"Attach Form" from Workflow?

posted on January 26, 2021 Show version history

Is it possible to save a form using only Workflow? I am referring to the option from a Forms email event where you can email a copy of a form.

I need to send an email from Workflow that will attach a copy of the form if possible.

I know I can do this by "Save To Laserfiche" event and kickoff the Workflow, but I want to see if anyone has figured this puzzle out by doing it a different way.

@████████, do you know if this is possible?

Thank you in advance :)

I'm not sure on your exact use case, but you could always call the wf, have it do whatever it needed to, then end and have the Forms process send the email. If the workflow service task is set to wait for the wf to complete, Forms can generate and send the email.

Thanks for the reply. We are switching over our email server away from using relay so I have to go into existing Forms processes and swap out Email Tasks with Workflow Email tasks. We need the reply address to be different from that of the default Forms process (relay now turned off). This us the new 'scenario of the day' that I am trying to solve with as few moving parts as possible. Right now with the Save to Laserfiche task I can use an existing Workflow template I already have setup. So, that is looking like the path of least resistance so far.

I was just seeing if anyone had found a simpler solution. Thanks again :)

Hi Chris, the document generation happens as part of the Save to Repository or EMail generation from within Forms.

The closest option in Workflow would be to generate a document using a MS Word update activity to populate a word document with the form's fields values, and then save as a PDF but then you have to get into building all of those Word Templates, etc which is likely more work than you were looking for.

Other than that, saving the document to the repository is likely the best option and then having workflow pick it up to email it. At least you could use the same Workflow process for Multiple Forms processes.

Other than that something along the lines such as Chandresh had described

Hi Chris,

You can send an email with form to a common mail of which is monitored by Laserfiche Email Archive. This will save the form in Laserfiche and you can trigger the workflow which will attach this form saved in Laserfiche for email. You can use combination of attachment name, subject line and instance I’d depending your solution design.

Hope this is helpful.

Chandresh
