Feature Request: Reset File Upload Variables

asked on October 28, 2020

Hi All,

We've had this request a couple of times now relating to the File Upload field in Laserfiche Forms.

Many of our customers use Forms for approval processes, and many of these processes require supporting documents to be added to them. This works really well for a simple process, because files can be uploaded via a file upload button, reviewed and then saved to the repository.

The issue comes when you have an iterative process (i.e. the form can be rejected and re-reviewed multiple times). As part of the rejection process, the user may be required to add more documents and have these saved in to the repository, which is fine on the first loop, but on the second (or any further iterations) you end up with duplicate files being saved to the repository because they have been remembered in the file upload field's variable.

Would it be possible to have an option on file upload fields to ignore any previously uploaded documents, or in the "save to repository" task to only save documents uploaded on the latest submission?

Cheers!

Dan

I think more practical way is on the "Save to Repository" -> "File_Upload" tab

that add a selection of "overwrite/anto-rename/generate version" to dealt with same name file.

Could you explain what you mean by "add a selection..."?

I am talking about new feature that Laserfiche should provide.

What I mean is Laserfiche should add a selection at the "Save To Repository" activity configuration page that allow same name documents save to repository at same location with different choices just like you drag & drop a document into Laserfiche it'll prompt of selection.

For your case, since the "FileUpload" control been referenced multiple times to hit "Save To Repository", it might just save all the documents with auto-rename (default) when you want it only one copy (overwrite).

When you view the submitted form from instance details list, are there duplicated files listed? You get duplicated files saved to repository because you save to repository multiple times? If you enable "Track Versions for New Documents" for the folder in the repository and enable "Start Tracking Versions" for existing files under the folder, when save file with same name, the new file will be added as new version instead of creating new file.

Hi Xiuhong,

Thanks! I didn't actually know you could do that, that's a handy feature.

That does get around the issue somewhat, because to the user it looks like there's only one document being saved. However from a system perspective that's still saving multiple copies of what will always be the same document, because they can't be changed once they've been uploaded to forms.

Luke's suggestion above could work, but it does rely on all the documents being uploaded having unique names.

Cheers,
Dan

With Luke's suggestion, if same name document already exist in the repository, you can choose "Overwrite existing document" to only keep the latest copy.

Hi Xiuhong,

We have an iterative process too but we cannot enable versioning because the files get saved along with the date in their file name.

we also have the file upload field in a table field, so how is it possible to automatically remove attachments from previous row, when user cliks on +add to add a new row in the table.

we want to remove it automatcially because in the table display options we have selected " previous data or new lookup data will be read only, but user added sets will be editable.

Please advise.
