Question

Launching Separate Form via Workflow in Cloud

asked on June 24, 2020

Hey all,

With the on prem version of Laserfiche, I know you can easily use the "Set (Forms?) Variables" task to launch a new instance of a different form.

For example, we use this activity to take an IT support request and, if applicable, send it down an entirely different process path in a separate forms process for lobby kiosk or website-related requests. To do this, we pass the variables from the IT support request process to the new instance of one of those other processes.

With the cloud version of Laserfiche, I'm not seeing this option. There is an option for configuring output variables on a workflow, so perhaps I could utilize that to launch a new form, but I seem to be missing something as I can't figure that out. Another option would be to utilize RPA for this, which would work, but seems overly complicated for something we can easily do on prem currently.

Is this feature simply not available in the cloud workflow currently, or am I missing it?

We are introducing the Invoke Business Process activity and the ability to pass token values into business process variables in the 2020.3 release scheduled for July.

Are you looking at ways to receive some sort of post back from a business process that says it is completed or to get variables back from the process?

In response to Brian's question, the initial release of Invoke business process will only support starting a new business process instance and pass data from the WF to the BP variables. It will not yet include a post-back message that the process has completed nor any variables back from the process. That work is being done right now for a subsequent release.

Hey Jared - I'm happy to now see the Invoke Business Process activity is available in Cloud Workflow! That said, I'm having one problem with it... I successfully have added that activity to my workflow and was able to select the Business Process that I want to launch from that workflow (a Forms Onboarding process).

That said, I see an option there for adding input values (to pass into the Business Process), but I'm unable to figure out where I can select those input values. Presumably this would be done on the Forms process, but where can I set input values on it there? I don't see the option?

In workflow, it says "The selected business process does not have input parameters configured."

In the current release, all process variables should be available in that right pane. Try publishing the business process or clicking that refresh button next to Onboarding to get them there. In our release next month, you will be able to configure specific input/output parameters from the process details dialog similar to how you do it in workflow.

Re-publishing Onboarding seems to have done the trick, thanks!
