Question

Task listed in Inbox

asked on May 20, 2020

I know my users are getting engaged when they start asking questions!  smiley  This is one of their questions that stumped me.

In Forms, in the Inbox, under Completed Tasks there is a list of tasks that the user has completed.  Some may still be in progress, though, because this is an intermediate step to a multi-step approval process.

In the example below, the chair has already approved and these have been assigned to the dean's team for approval.  The dean has already approved them and they are passed up the food chain.  Some have been finished and some are still waiting for final approval from the Chief Academic Officer.  When a dean receives them the step is called Awaiting Dean Approval.  But there are many steps that follow Awaiting Dean Approval, whether the request is approved or denied.

Here's my question...even though all of these tasks have been completed by this team member and passed along for additional approval, why does it still show the task as if they just received it?  Is it showing this because this was the step when it arrived to their inbox?  Wouldn't it make more sense if it showed the current step?  Or even have a column that showed the step when they received it and the current step?

Thanks for responding, Jared.  So was my assumption correct that the Task column is just the step the form was in when it arrived in their Inbox?  And that it doesn't reflect, necessarily, the current step.

If they are wanting to see the current progress of instances of this form then they will need a report.  Am I thinking about that correctly?

The Task column is the task name at the time the task was assigned. It's the name of that user task step. If you use variables in the user task name, it's the value of the variable when the task was assigned. If the variables are updated later in the process, we don't change the name of the completed tasks.

There are two types of columns in the completed tasks listing, columns regarding the task itself and columns focused on the instance the task is a part of. Things like Date Completed show the date the task was completed. Columns like Instance Status show the status of the instance as a whole. Even though all tasks in this listing are completed, some of the instances are still in-progress. If you would like to see where in the process the instance is at, you can use the action history in the right pane.
