Delete file from specific form (remove from database) without removing form instance

Hello,

 

I am working on an issue where a user uploaded a file to a form containing sensitive information that needs to be removed from forms. We cannot remove the whole instance since that needs to be kept for compliance reasons to show what was done in the process. Is there a way to remove the uploaded files from a specific document?

 

I found the post at the link below which has a query to do something similar, but it looks like the query there may be removing all attachments versus a specific file from a specific forms instance.

Please open up a support case so we can give you the proper script with the correct instance ID.

Hi,

I'm new to LF forms, but I see whenever someone uploads a file and the form is saved in the repository... the uploaded files are separate from the form though stored in the same place.  I've deleted uploaded files and it affected nothing else.  We also have some forms that deal with PII (with uploads) and further restricted access so only certain authorized users have access to directories with confidential data.

In this case, the question is about attachments stored in the Forms database. When you save a form and it's attachments to the repository, you are saving a copy of each. You can then edit/delete each repository copy without affecting anything else, but the copies storied in Forms would still be there. Cody is asking how to remove just an attachment from a single instance of a Forms process.

I need to know as well, where these forms are during the forms process before ever uploading to Laserfiche. With a lot of attacks happening currently we are trying to determine if we can scan these forms while they are in forms routing. Are they stored as binary large objects in the database or a temp folder on the server?

They are stored in the the Forms database and kept there even after a copy of the attachment is sent to your Laserfiche repository for storage. You can use the Data Maintenance feature of Forms to clean up these attachments after a retention period if you would like to keep them in the repository exclusively. 

In Forms 10.4.4 (scheduled for release this month), you will be able to specify an alternate storage location on your Forms server to store file uploads outside of the Forms database while they are being used in the process.
