Print feature right in a specific WebLink search or folder

A client needs to assign the "Print" feature right on some search forms in WebLink, but when the feature right is assign in the Laserfiche administration console, the user will be able to print on all search forms in WebLink.

 

For example:

  • The user "Weblink1", has assigned "Recursos Humanos" and "Informática" groups. 
  • Only "Recursos Humanos" has assigned the "Print" feature right in the administration console.
  • There are 2 search forms created in WebLink. One for searching the "Recursos Humanos" documents and the other for the "Informática" documents.
  • The problem with the client is that the user can also print the "Informatica" documents too.

 

 

 

We understand that the "Print" feature right is a general permission that is given in the administration console, but the client needs to separate this permission in all Weblink search forms.

As you say, print rights are managed on a per-user basis. The way to leverage that would be to have separate logins for different types of users, and restrict the user with print rights to not see the "Recursos Humanos" documents.

Hello Brian,

Thank you. This could be the last option to solve the dissatisfaction of the customer. The customer does not want users to have multiple logins depending on the documents they want to see.

Could this be a feature to add in a next version of Weblink?

Any changes to security would have to be made to all of the products and would be a large undertaking. It's not something that could just be added to a release of WebLink.

To further add to this, I have this same conversation all the time.

 

Let's say you could let people open documents but not print them, what stops them taking a screenshot and printing that? Or taking a photo of the screen with their mobile phone and printing that?

 

It makes sense that if you user has the read right, then they shouldn't really be too restricted around exporting and printing, as there are pretty basic ways around these restrictions, even for those people which aren't computer gurus!

You can control these funtions with feature rights, but these are only 'token' gestures.

Good point. This is a discussion we have internally also. On desktop machines you can have a bit more control over the situation, but on the web it's hard to do in a truly secure way. For the export right, there's a fundamental tension in "I want users to see the data but not have the data", and similarly for print between "the users can have the data but not print the data". We can avoid giving the user a full-fidelity version, but we can't prevent screenshots or other similar work-arounds.

Yes, it is very difficult to control these situations.

But really, the situation we have is when the same user can access 2 different search forms and that only one should be able to export.

The solution I find is to create several Weblink users for the same person, one with permissions for the first search form and with the right to export and another with permissions on the second search form and without the right to export. This solution is not approved by the customer.
