Getting an Error when trying to assign a task Laserfiche Forms 10.4

asked on May 4, 2020

I see a suspended task with an error "Error when trying to assign a task Laserfiche Forms 10.4"

The form has a User task which is assigned to counselors. The form has a variable SSchool_CounselorEmail which the user picks from the dropdown with available emails. Once the form submission happens the counselor should get the approval email.

The counselors are part of a security group to which i have given access to.

Screen shots below. Am i doing anything incorrect?

To use a variable to assign the user task, you need to fill the variable with the counselor's username. If you have a counselor named John Doe, username: John.Doe, email: John.doe@organization.com, you would need the variable set to John.Doe for the user task to be assigned correctly.

One thing you could try is to use a hidden field filled by a lookup. When the user selects the email address of their counselor, run a lookup to get that counselor's username and fill another field with that. When you select the variable to assign the user task, use the counselor's username, not their email.

Instead of setting the variable to the user's email, use their username.

This is how i have in the form.  Counselor's email is the one that needs to be listed on the form and not the Counselor name.

Or do you mean assign the Field Label? Which in this case is the Counselor email?

Ah got it ! Let me try and keep you posted. Will making this field read only cause any issue? Currently I have this counselor email set to read only.

No, read-only won't be a problem. You can also use a field rule to hide that field always and save the data when the field is hidden, so it's hidden from the user. The form would look exactly the same as you have it but the username would be stored in that hidden field.

Worked with the changes you suggested.  Thanks!
