[FEATURE REQUEST] Email Archive - document linking

posted on March 2, 2020

Hi there,

At the moment it seems there is no way to configure document linking between emails and their attachments when imported in the Email Archive tool. We can do this with a separate workflow, but a good feature would be to be able to add a document link from the email to its attachments at the Email Archive configuration and not have to set-up a separate workflow.

Thanks,

Duncan

Hi Duncan,

Just to confirm, are you looking for saving attachments as separate documents and set the "document relationship" to "Attachment" between attachments and the email?

Best,

Tianxia

Now, if you set the profile to save attachments as "In the same document as the email message", the attachment will be saved with the email, and when users open the email, they can view both messages and attachments using Outlook.

Does it work for you? If not, can we know the use case that you want to save attachments as separate documents with "Attachment" doc link rather than the above way (Below screenshot is an example) ?

Thanks for the reply Tianxia. Yes. Exactly this.

We know how to do this for importing Outlook emails manually (drag and drop) or from the Outlook integration - but just not from the Email Archive tool.

Now, if you set the profile to save attachments as "In the same document as the email message", the attachment will be saved with the email, and when users open the email, they can view both messages and attachments using Outlook.

No, this won't work for us. The use case is:

  1. Emails arrive in a mailbox for invoices with attachments
  2. Email archive is monitoring the mailbox, and imports the email, and saves the attachments (typically PDF invoices) as separate documents
  3. We run a workflow on the PDF attachments, but we retain the emails in a separate folder (client requirement)
  4. We want to maintain a link between the email and its PDF attachments, but at the moment we have to do this via additional workflow - would prefer if the email archive just used the same functionality as Web Client and/or Outlook integration and created the link automatically
