Hi,

I'm not sure Quick Fields is the best tool for the problem you're describing. A few clarifying questions:

  1. Can you elaborate more on what your big-picture goal is for this solution? Where does this document originate from, and how will the customer use the data once it's in the database?
  2. Is this a one-time conversion or will you be getting new versions of the table that you need to use to update the database periodically?
  3. Do you have the original spreadsheet for this document or anything digital other than just the (scanned?) image?

If it's just a one-time conversion and you don't have the original spreadsheet, you may be able to get what you need with an online tool such as https://convertio.co/ocr/ to convert the image to a spreadsheet and then review and correct any OCR errors manually.

(Note that this is just my personal suggestion and doesn't represent any official Laserfiche endorsement of convertio or any similar tool. )

Hi Tessa,

Thanks for your comments.

- Can you elaborate more on what your big-picture goal is for this solution? Where does this document originate from, and how will the customer use the data once it's in the database?

R= My customer has this situation. He receives dozens of this type of documents every month, next he needs to apply a validation process of the data gattered (some parameters validation and calculations), after that he needs to take some actions over "Elements" out of range.

The actual process is, 1. the client receives the scanned document, 2. A person types all data in a system, 3. Apply the validation process and get results.

My customer needs to optimize the typing process (2), because it consumes a lot of time and has mistakes typing.

- Is this a one-time conversion or will you be getting new versions of the table that you need to use to update the database periodically?

R= Yes, It's a one-time conversion.

- Do you have the original spreadsheet for this document or anything digital other than just the (scanned?) image?

R= Yes, But It's required to use the scanned document because it has to be signed previosly by all technitians envolved in the gattered information . We can't use the originals documents (word and excel).

In Laserfiche, you can have both Images and an Electronic (excel) file in the same document.

Pulling the data from Excel will be 100% accurate where OCR is not.  If you can input the Excel file and then scan the signed paper into the same document, you would have the Excel to pull your data from and the signed images that are required.

Once the data is extracted from the Excel file, you can also discard the Excel portion of the document so that it is not part of the final retained document.

Have you explored using digital signatures so that that the technicians can sign the document without having to print it?
