Question

auto assign metadata

asked on December 31, 2019

OK folks please remember that I am not an IT person and new to Laserfiche so this may seem dumb but... I have a form that is used over and over again is there a way to automatically assign metadata to the form when it is placed in the repository? The form has its own folder in the taxonomy but it would be helpful if my worker didn't have to do this on every form saved? Thanks in advance for your assistance.

You've got it.  In this example the field "employee id" is automatically filled with the variable "employee number" from the form.

You can assign metadata in the save to repository service task using any data available to the form.

So in looking at the save to repository it has parent folder fields if I hit configure fields then I would just utilize Social Work Services template and then it would be saved with the fields that I indicate in the metadata? If I am understanding you correctly.

I'm working with Wes on this and was hoping to receive some clarification. In the Save to Repository Service Task there are two sections regarding fields: Fields and Parent Folder Fields. What is the difference between these two? Which should we alter to achieve the goal of minimizing data entry?

Thanks!!

The "Parent Folder Fields" applies the metadata to the folder that the form is being stored into.  The "Fields" applies the metadata to the stored Form in the repository.  Most of the time you will want to use "Fields" so the document gets the meatadata.

It's a bit short notice but register for empower.  Their hands on labs are super helpful for learning to use Laserfiche products.  They guide you through step by step and have experts in the room to help you through any issues you encounter and answer questions specific to your projects back home.

If you can't go this year check out the ppt slides from last year.   https://support.laserfiche.com/resources/3957/empower-2019-presentations

As stated I have attempted this and it is not working. It has been suggested that a workflow may be invoked that is preventing the ability to do the above. Can anyone advise if there is a work-around for this workflow? If not any other suggestions to accomplish above?
