Moving Information into a New Form from a Previous Form In a Different Process

We are working on moving information between forms that are in different processes. Does this have to be accomplished via WorkFlow? Or is there another way to address this?

 

We are just beginning to utilize Laserfiche forms heavily and any best practices would be helpful, especially in this scenario!

As far as I know this can be achieve via workflow only.

Thank you, Mahesh! Would you have any pointers or examples on how to do this? I believe I understand the concept of linking fields, but I wasn't sure if you knew of any white papers with pictures or videos that could be helpful.

Yes, in workflow,

Use (Retrieve business Process Variables) to read fields from a Form

Use (Set Business Process Variables) to pass values to a Form

Use (Invoke Business Process) to start a Forms process and pass value to it.

Also, you can use a URL to launch a Form and pass variables to the fields in the from. This is best defined in the LF Connector help files about how to launch a Website.

Hi Steve,

I know this is an older post, but I'm hoping to hear from you if possible- 

For (Retrieve business Process Variables), I select the first form, then I select the forms process where I want the variables to go when I configure (Set Business Process Variables); Do I select the same Forms process as (Set Business Process Variables) for (Invoke Business Process)?

Hi Whitney

When in forms BPM, when you use a (Service Task) to call a Workflow, in that workflow when you Set Business Process variables, you would point back to the same Forms process that called it, as it will update the form field data in that instance of the process with those values. 

As an FYI, in the Forms Service Task, Choose Yes for the "Wait for the workflow to finish before proceeding?" so the values will be passed back before the Forms BP moves to the next step

When you Invoke a Business Process, this would kick off a new Forms Instance of the process you selected, passing those variable to populate the form when it appears in the first User Task

Thank you for responding so quickly!

Right now I have it set up so that I will be invoking the Business Process in the beginning of the second form's Process Designer- Or should I put it at the end of the Process Designer in the first form? I apologize as I'm not sure about best practices. Could you tell me if I understood you properly by looking at the Workflow Screenshots attached?

You have been incredibly helpful with this; the main issue is that this is the first time we've tried to put this to the test in our environment.

Anyone ever figure out how to pass variables to a URL when the variable contains the & symbol? That symbol separates the variables so it is throwing me off. Thanks!
