Question

Automatically assign to self

asked on December 4, 2019

We've had a request to have team tasks automatically assign to self.  Is this possible?

If your approval task is based on a read-only copy of the submitted form (the approver doesn't have to enter any additional information), you could also try the Direct Approval feature. Direct approval brings the user task action buttons to the Inbox and side pane of the form for quicker action decisions. When using direct approval, you can approve or reject user tasks without assigning the task to a specific user.

However, this only works if the approver doesn't need to add any additional information. If the approver needs to fill out any part of the form, they must assign it to themselves first.

What do you mean exactly? Forms has a round-robin feature in the user task configuration pane. This feature will automatically assign team tasks to a member of the team.

If you are talking about the Inbox in the Team Tasks section, the team member who wishes to claim the task must assign it to themselves before filling out the form. This is because if two team members both started filling out a team task form, one person would submit the form first and the other user would have wasted a lot of time filling it out. A user must claim the task (assign it to themselves) to let other team members know they will be working on the user task.

I totally agree and have explained it as such.  We have a department that doesn't think they should have to complete the extra mouse click.  Thanks for your answer!
