Need assistance having notification sent to appropriate manager based off of specified user

asked on December 3, 2019 Show version history

We are trying to utilize forms to send to a manager/supervisor based off of a specified user. In forms, these users are determined based off of a variable. We then have the Assigned to Social Worker section going to a Manager Notification junction, please see the pictures attached and below for more information. This isn't working, however! Is there a better way to accomplish this need, or is there something wrong with how we set this up?

HI Whitney

When creating outflows conditions, I find it best to not create conditions where both sides have to be 100% positive, as if neither side passes then your workflow will terminate. So instead I will either test for a condition on one side (as Positive) and the other side would be the negative (so anything that does pass the first test will come out in this direction, or I will set one of the conditions as the default path with no rule, and anything that doesn't pass the rule will automatically get pushed through the default path.

Hi Whitney

Another technique to consider is to create a Notification Team with Roles, and so the assignment is based on the role using Team filtering to get to the person you want as opposed to selecting individuals in your form.

The reason I say this is when you have User chooses in your form, is you have to update the form/conditions each time a user/manager changes which opens the doors to making mistakes when implementing those changes and your workflow failing.

By using Team, you can easily update users Team or Role assignment without changing the logic in your form making the processes easier to manage in the long run.

Thank you, Steve!

Is there a way to send to the Team Manager only in Forms? We're trying to notify one person based on a list of employees from the selection provided. I had looked into the Teams part of Forms but wasn't sure how to implement it into our current process.

We tried to rework the process as shown in the picture attached. Is this more efficient?

Thank you for all of your advice!
