Changes to Direct Approval of an unassigned task in from 10.3 to 10.4. Request to add feature that was removed in 10.4

After upgrading to 10.4.1 Forms the ability to use Direct Approval on a form that is open and unassigned no longer works. When you select approver or reject the button will click and be greyed out. I opened a support case and was informed that this was an intentional change and not a bug. The client I upgraded has to approve 100s of forms a day. Removing this feature has slowed this down quite a bit. Laserfiche support did a great job explaining the behavior. They told me that this was an intentional change and the bug is that the approve and reject buttons are still there:

 

"Direct approval of the unassigned team tasks will still work if the user doesn't actually open the task and instead, just selects it from the inbox and then performs the action on it.

If the user does actually open the task to view it, then they will need to assign the task to themselves first before being able to act on it.

The reason for that is because direct approval just moves the task onto the next step without allowing the user to input any additional data into the form. If the user opens the task, Forms expects that the user may need to review and then edit or add to the form data so that's why it needs to be assigned to the user first."

 

So a person can use Direct Approval to "blind" approve a form from the task list, but when accessing the form they have to assign it before using Direct Approval. I don't see the logic behind this change. All it does is add an extra unnecessary step. I would like to see if there is a way to get this feature back in Forms 10.4 and request this feature be added back in the next release.

Direct approval unassigned task after open it should be supported, the issue that it is disabled after click it has been identified as a valid bug. As we have finalized the 10.4.2 release package, we will consider to fix this bug if we plan to release an update for 10.4.2. For now, please use workaround to direct approve from the tasks list or assign to yourself then approve it.

Hello,

 

Laserfiche Support confirmed that this was a bug. It is my understanding the "fix" is to remove the button completely. Is that correct? If that is correct I would not consider removing the feature completely a fix.

The fix we are talking about would be to have the direct approval buttons in the inbox and on the unassigned user task form while it is still read only. That way, an approver cannot accidentally enter data and use the wrong buttons. Once the user task is claimed/assigned, the direct approval buttons would go away and the approver could fill out the form and use the main action buttons to complete the task.

We can look into this further. 

The problem organizations were facing was for forms that did require some input. If a user opened up the form and filled out some information, they would then click on the direct approval button which discarded all of their data that they intended to submit. In order to prevent data loss by mistakenly clicking on the direct approval buttons, we had to remove them from the opened form and only show the actual submission buttons. The actual submission buttons require the task to be assigned before use. 

In short, you can direct approve from the inbox which doesn't carry any data over with the submission, or you can actually submit the form with any data when the user task is opened. We can go back to the drawing board to see if we can accommodate the above cases.

Yes this feature really is missed.  We have approvers that need a "quick view to the document".  They review hundreds of forms a day, and don't like having to go through that extra step to assign to them.

 

Plus this is also misleading, because the "approve"/"disapprove" button shows active on the form, so they click it and then it goes to disabled.  So they think they are approving a form, but they still find it in their inbox.
