Folder Template not Being Assigned When Saving via MS Ribbon

Hi all,

When I save a new document to our LF repository via the MS ribbon, it doesn't autopopulate the metadata template assigned to the folder the document is being saving into. The folder is selected before the template window opens, so it should "know" there is a template assigned; however, it defaults to "no template assigned". 

This means staff will have to choose the template from the drop down menu to enter the right metadata. I suspect once staff are onboarded, they're just not going to bother at all.

Unfortunately Laserfiche does not save in this way, as documents can have different template under a folder. However when you do save from from the ribbon a dialog box ask to assign the template and metadata fields. 

 

Alternatives are using Workflow to perform this task however to auto populate information LF Quick Fields would be used. Its a very powerful tool that can take a scan, OCR the text, and assign the meta data fields directly from the OCR text. This is great for documents that have the same design. Your Workflow can auto file the document. This methods means increase the speed in which it takes to bring a document in to LF, reduce typing error, and the time spent filling the document metadata fields. 

 

 

To save a document to your repository from Microsoft Word, Excel, or PowerPoint

  1. In the Office application, open the Laserfiche ribbon or toolbar. (You do not need to be logged in to Laserfiche in your browser.)
  2. Click Save to Laserfiche and select as a New Document.
  3. If you have not yet worked with an Office document using Office Integration, you will be prompted to provide your Laserfiche URL. Type or paste the URL of your repository in the box, and click OK. (The URL will be of the form https://webaccess.laserfiche.com/laserfiche/repo=r-000ab000, with 000ab000 replaced with your unique repository identifier.)
  4. You will be prompted to log in. Provide your user name and password, and click OK.
  5. Navigate to the folder in the repository where you want to save the document.
  6. To specify a new name for the document, type a name in the Name option. (By default, the file name will be used.)
  7. To specify a different file type, select the file type you want to save the document as from the Save as type option.
  8. Click Save. The Metadata dialog box will open.
  9. In the Fields tab, you can modify the template and field information for your new document. See Fields for more information.
  10. In the Tags tab, you can add tags to the document. See Tags for more information.
  11. Click OK to save your document to Laserfiche. You can continue working with your document and saving additional changes for as long as you like.

Thanks for clarifying.

I understand that various templates can exist under a folder, but then how can it recognize the template when I drag/drop a document? Seems more like an inconsistent feature, no?

Thanks for explaining, and although we do have workflow and quickfields, it doesn't address this issue in this case.
