Design and Manage Tabs Showing for Users with Submitter Role in Forms

asked on September 12, 2019 Show version history

According to the description of the Submitter role in Forms: "The Submitter can start processes, either by submitting a form or by starting a process manually. In the Completed Tasks section under My Tasks, submitters can also see information about processes they have participated in."

Currently when a user is assigned the Submitter role the Design and Manage tabs still shows for them. Can these be removed please? There is no reason to show them if they will never have permissions to use anything in it.

Submitter and Business Manager are process-level roles. A user can be a Submitter or Business Manager on a specific process, but still have the Process Creator role at the server/application level.

Are the users you're referring to set to "Basic User" in System Security?

The Business Manager role does allow editing the process instance names, so I believe they would have access to parts of the Manage page options.

In this specific scenario, they were set as Basic User in the System Security.

This specific post is about the Submitter role though, and not the Business Manager role.

Interesting, which version are you running? We have a lot of users set as Basic User who have Submitter roles and they don't see either of those options.

Are the user licenses the same? It's possible Jason has Basic Users with Forms Participant licenses (would never be able to see Design/Manage based on their license) and Blake has Basic Users with full licenses (could see those areas based on their license type).

I do have about 50-100 Named Users who are also Basic Users in addition to the 1200 or so Authenticated Participant users.

Yes, the user licenses are the same. We actually took the exact same user account and just switched the role of the user. I did use incognito mode when doing my testing and closed out of it after switching roles.
