Simplify my business process assign - user task to a user based on a variable

asked on August 1, 2019

I am struggling with this.  My example process is for new hires.  HR kicks off the process from our Admin campus and then routes to IT to create user accounts etc.. then to other various departments for the tasks they need to complete.  We have multiple locations and i would like to route User Tasks to specific Users based on the "Campus Location" that was selected in the form.  For now i have it setup like the attached image, thought is to maybe use Teams or filters to collapse this into a single User Task but can't figure out how to do it?

Campus Locations = AAS , CS , VJA , DIST

Based on what you describe I think you could create a team with a role for each location.  You can then assign a single user task to the team but use a filter to assign the task to the location role.

CREATE THE TEAM:

CREATE THE ROLES:

TEAM WITH ROLES:

VARIABLE ON FORM FOR LOCATION:

BUILD ROLE FILTER BASED ON VARIABLE FROM FORM:

FINAL ROLE FILTER:

I was able to accomplish this using an external database lookup and a variable.  One thing that drove me nuts for a while until someone helped me figure it out that i was, using tables and trying to auto fill fields not in the table.  Turns out that if auto filling inside of a table or collection, all the fields need to be inside that table or collection
