Feature Request: Save Workflow Email to Repository

Hello,

I'm working on a pretty big project right now involving online document submission. We're using Forms to accept the documents, and Workflow to send the delivery and processing confirmations.

One of the rules/regulations we must follow is that we have to maintain a record of all the confirmations we send out to the submitters.

I have a process working, but it made me think it would be pretty cool if we could generate a file token from Email like we can with query results or when updating a Word document or a fillable PDF.

What I'm thinking is instead of having to send the email to shared mailbox or to Import Agent's Email Archive, we could just attach the electronic file to a LF document right in Workflow.

I don't know if too many others would have a major use case for that, but I know in our situation it would be extremely convenient way to keep a record of outgoing correspondence.

I wouldn't go this route. If saving the email is necessary so you can prove it was sent, you want the email message from the mail server with headers and whatnot as well as the delivery confirmation. If you just want to save the text that was put in the email, then that's already possible by creating the message body as a token and saving it into a Word document.

The challenge with saving the email body is that we are using HTML formatting. Wouldn't this save to a Word document as raw HTML?

My hope was that generating an "email" file would allow the HTML to be interpreted correctly, and for the attachments to be included.

I'm trying to do your recommended "creating the message body as a token", but if I add Assign Token Values as an activity after the Email activity, I do not see anything which allows me to select the email body as something usable in a token. Please advise.

I'm not sure I understand what you're trying to do. In the scenarios discussed above, you would want to add a token before the Email activity, set its value to be whatever you want your message to be, then put the token as the email body in the Email activity.

I thought from your post that the email body was available as a token after the activity. Now it makes sense.  Thanks.
