WebLink Public Portal - Temporary Access to specific folder/files

asked on June 25, 2019

Not sure if this is described elsewhere, but I couldn't find it based on searching.

We have a need to make certain documents/data available to specific members of the public temporarily. This could be for a week or even less. The idea would be to have workflow put documents into a specific folder with security that only allows the specific recipient to access the info.

In our WebLink Public Portal, it seems like this would require us to create a unique username and password for each request/recipient, set the folder access rights to that account (and likely admins) and send them those credentials. We'd then need to have a clean-up workflow that would remove the access after the specific amount of time.

Does that sound correct? Are there any other options for the process? Just trying to brainstorm what our options are for these temporary access needs.

Not sure how far out it is, but I believe at this year's Empower Laserfiche provided a brief demo for something new that focuses specifically on this type of "temporary access" to documents.

Hi, Josh

You are correct if you want to provide read only secure access you will need to create a local laserfiche account with a password.

Can the members of the public share same local laserfiche account and password? does each user need to have unique access?

Yes, during the workflow process you can assign custom security based the local laserfiche account you created.  Laserfiche action called is called "Assing Rights "

You can create a second workflow that runs on the scheduled task to remove the security access after given number of weeks or months?

Does that make sense?
