Prompt to delete empty pdf after merging with another document

asked on May 8, 2019

Is there a way to have the system prompt the user to delete a pdf, that has zero pages, after the pages have been merged with another document.

I know for Laserfiche pages, when we merge them and one becomes empty, a prompt appears asking would you like to delete the item.

If not, does anyone have any suggestions on the best way to automate this activity using workflow?

Does anyone/any process in your organization use the original PDF? Or is the PDF imported into the repository solely to generate tiff pages?

If the PDF is not relevant, there's an option to automatically discard the original PDF after generating pages at the time of importing it into the repository. Then you'll get the desired behavior for Laserfiche tiff pages.

You can always export the tiff pages as a PDF if you need to pull it out of the repository later. Note that you can lose certain pieces of PDF specific metadata (PDF annotations like Bookmarks) if you choose to discard the original PDF though.

In the Options page => New Document => uncheck "Keep original PDF files"

Alex, when further looking at this resolution. I see that this is a user-specific option or change. Is it possible for me to make this change on a more global level?

I'm not sure where this prompt would appear.  As you note, we do this for documents that have their last page removed and now have no contents.  But there's no mechanism in our software for a user to remove a page from a pdf, so this operation is performed by something else?  Or do you mean there is a pdf but no image pages left?  We wouldn't delete that document without the user initiating the action since it's not empty.

If you're talking about a situation where the tiff pages associated with a PDF document in Laserfiche have been merged with another document (leaving only the PDF), then you could set up a workflow to delete the PDF document, but it would not prompt the user - it would delete it every time it meets the start rule criteria. If this works for you, the start rule would need to be something like this:
