FORMS: performance evaluation, approval

Hello, 

On 10.3 Forms, with forms portal.

I have a performance evaluation form that the department would like to be public facing, so as not to utilize a user license. Is the following scenario possible in Forms? can WorkFlow be used to handle? All that I have read on line seems to have Supervisor/employee/manager as a user (with license).

Scenario:

  1. Supervisor completes form and the form should then be routed to the employee for review using the email address entered on the form.
  2. Employee receives, signs, and submits for upper management review using the email address entered on the form from Supervisor.
  3. Management reviews and approves/submits to repository.

 

I am new and still learning the differences in the licenses and public portal capabilities.

Forms public portal only allows external unauthenticated users to submit initial forms. Once the initial form has been submitted anonymously, that person cannot be a part of the remainder of the process (except to notify them of something by emailing them). You cannot assign user tasks to public users by email. 

This process would also not be secure because any supervisor could submit a form entering any email address and the submission would not be truly tied to the person who submitted. 

Your case seemingly requires licensed users. If these users just need to submit initial forms and fill out approvals, you should look into participant licenses.

Forms Portal allows unauthenticated form submission.  Your scenario appears to require authenticated users all the way through.
