Question

Workflow and finding AD user and group Accounts

asked on March 29, 2019

I am trying to access the emails of our AD authenticated users in workflow. They are in AD groups and my workflow is having issues seeing the members in these groups. It is only bringing up Laserfiche users (non AD) when I track the tokens.

I have even created a special Laserfiche group that contains domain users, I cannot seem to extract email addresses from those users either. Can the find group and for each user only access Laserfiche groups and users and not Domain groups and folders?

This is expected behavior for repository trustee providers. You are only getting the information that the Laserfiche Server has about them. If you want their AD properties, you need to use an active directory trustee provider instead. Additional trustee providers can be created from the Workflow Administation Console.

Thank you. Added an LDAP which I can now access the groups. Still cannot access the individual users and email addresses from each account though.

I am using the find group and then a For each User and appending a token with the email addresses but so for I get no values in return.

Workflow won't automatically retrieve all information about group members when you look up a group. This is by design because some groups can be fairly large. You need to run Find User to get an individual user's email address.

We have certain groups doing specific functions within laserfiche and those users can change. So AD groups is how we have kept that administratively from becoming a nightmare. I was under the impression that those AD groups could be used for workflow functionality such as this. Thanks for the clarification. I will find another way.

What exactly are you trying to do with the group member's emails?

Alternatively, you could add a mail distribution list as the group's email address and use that instead.

Still fighting with this. The whole idea behind using AD auth is so we can use the groups in Laserfiche, or make a user the same as another user in AD and piggy back on that for security. But if we have to manage groups in laserfiche, forms and have also email distribution lists in addition to the AD groups, we have to manage everything 4x instead of nice and easy AD groups. It really is a shame that we cannot grab user's email addresses and use them to do something with the email task in Workflow.

Gathering from the suggestions above, next I try to look up members of a group and then do a find user and email them that way.
