Question

Assign Folder Rights in Workflow

asked on March 21, 2019

I am attempting to create a workflow that builds a folder structure with rights set to each sub folder. The thought process is when a file for a brand new client is added, workflow would recognize that this client did not previously exist and create a folder structure specifically for their documents. I have attempted to setup a template folder structure and have workflow copy that over, and it does, but the rights to those folders do not copy over. I also have tried just having it manually create each folder on the fly but I do not see a way in the cloud version of workflow to assign rights. I even thought about trying security tags but workflow seems to only let you assign normal tags to entries and security tags don't even show up. Is there any way to accomplish this, either in a way I've already tried or another idea? Thanks

Hi Charles,

We looked into this and you can use workflow to assign security tags, provided that you update to grant that security tag to the "Process Automation User", because workflow can only interact with a security tag that has been granted.

To note, we do have do have "Assign Rights" on our roadmap and will take in your use case scenario in the planning for adding this activity.

Hi Yin,

Any update on when the Assign Rights Workflow activity will be available in Laserfiche Cloud? While using Security Tags does work for some scenarios, it would be really beneficial to use the Assign Rights activity to fully and dynamically create a secure folder structure in Laserfiche Cloud.

In my scenario, users either have read-only access or full access to specific document types. I would like to be able to use Workflow to assign that security to newly created documents that are brought in and filed.

Thanks!

Molly
