I am hoping to get a definitive answer to how participant licensing should work on two forms servers that share the same database. We have experienced a bit of a change since our upgrade from 10.3 to 10.4.
We have 2 forms servers that share the same database, one internal and one external, in the DMZ. There are 150 participant licenses assigned to our internal server and both servers have a forms public portal. The majority of our licenses are assigned to internal users that complete tasks on the internal server. Works great.
However, we do have a small number of participant licenses assigned to people that have NO access to our internal network. Prior to our upgrade to 10.4, these individuals could log into the external forms server and process tasks assigned to them. Since our upgrade to 10.4, these individuals can login to the external forms server, view and open assigned tasks, but when they try to approve/reject the task they get the error message “You are not authorized to perform this action. Please contact your system administrator for more information. [LFF10-NoAuthorityContactAdmin]”.
It seems that either a bug has been introduced in 10.4, we were exploiting one in versions prior to 10.4 or have a misconfiguration in our setup!
So, our question is, should a licensed participant be able to complete tasks on both servers or only the one the licenses are applied to? And if not, why not, since sharing a database makes each one essentially the same.
It seems our only options for external participants now is to use direct approval via email, or purchase full named user licenses that would only be used as a very expensive participant license.
