Question

Single level foldering vs Multi levels foldering

asked on February 25, 2019

Hi all,

With reference to Laserfiche architecture design and searching performance, may I know if there is a discussion or white paper on the pros and cons of "Single level foldering vs Multi levels foldering"?

Let's say, based on the following assumptions.

1. There is no requirement on configuring folder access permission. Every users has the same access rights.

2. Each document has its set of metadata (4 indexes), and document name is created based on the metadata.

3. Document content is OCRed and indexed.

Questions,

There is no need to setup folder access, and there are metadata/indexes, and content OCRed, could we just place all documents in one folder? Since we could pull out the document by searching file name, its metadata or content search.

Following above assumptions, is there any search performance difference between "all documents in one folder" and "document placed in 4th levels sub-folder created based on its 4 indexes"?

Thank you all.

There shouldn't be any search performance hit from organizing things that way. Like you said, as long as there's no direct access to the folders, it should be fine. Past a couple of thousand entries (YMMV), the desktop client tends to go wonky.

To extend on what Devin said, there shouldn't be search performance ramifications, but there would definitely be browse ramifications with very large folders. It also lowers your future flexibility - you have everything as the same access rights for now, but perhaps you will want to secure by department in the future. It helps future-proof it a bit.
