Question

Connecting Forms Together

asked on February 12, 2019 Show version history

I am wondering if it's possible to connect separate forms together? Other than linking them that then requires a new form to be created.

We have multiple instances where more than one form needs to be completed in order to finish the task. However, that form could also be linked to 5+ Processed so if an update is required I would then only need to update the main form itself.

And the reason I am not wanting the teams to create a separate form is that a process might incorporate 5 different forms, so this would clog the inboxes up and make the overall process hard to track.

Thanks

Mark

Hi Chris,

I am not sure how this would work to solve the issue exactly. If I maybe try to explain further.

We have forms that can be used on their own to complete a process and save into the repository. e.g. Travel request

However, when you complete one of the forms it may be necessary to complete another depending on the task at hand. e.g. when doing a travel request you might have to apply for a Visa.

The Visa form is also a standalone form and can also be linked to multiple other processes.

I don’t want to build the visa form into travel requests and all others as then they all need to be updated with any changes.

Hopefully that makes sense

Thanks

Mark

You can pass parameters into a starting form from another process. That would only work for the one time when the 'thank you' page is hit. You can choose to re-route to a URL and pass in the parameters form the form that way.

It sounded to me that you may want to go back and see fields from several forms from several processes.  In other words, multiple processes that are all related to one another but are separate instances. To 'tie them together' so to speak, I would use a database. Querying the Laserfiche Forms database is a very, very, very tedious task. Probably intentionally lol. I would avoid it if possible.

@████████,

Write the data to a database using the workflow step (InsertData). Then reference your tables rather than your forms. Use lookups form a 'master form' or 'dashboard form' to see everything you want.

It sounds like you are referring to separate processes. If so, using the tables as a common ground is the way to go.

Set yourself free! Use a database lol

Thanks for the feature request concept Mark. This behavior of being able to manage forms outside of processes, and have form submissions link to starting processes (as opposed to forms living within a process) is something we are looking to implement in our new process automation platform. We are early on in this process, but once developed, the platform will support the concept you describe above. Each form will be managed outside of the process, and upon submission, can trigger one or many processes. Since forms aren't tied to the process, you'll only need one travel request form or Visa form that can be used for many processes and maintained easily.

Hi Jared,

I am just following up and seeing if what you mentioned above is coming any time soon?

Thanks

Mark

The Process Automation suite is coming along and has been initially released for our cloud SAAS offering. This re-design has not yet been built into it, and the Process Automation suite is not yet available for on-premises installations. So unfortunately I would say it won't be available soon.
