Bulk importing PDF's & attaching metadata & templates

We have boxes of physical documents that will be scanned offsite. We will then receive them in the form of text-searchable PDF's that will have the desired metadata attached.

 

What would be the best way to import these documents so that they have the extracted metadata inserted to the desired template for these documents?

You might be able to use Import Agent which is an add-on to Laserfiche.  It would allow you to bulk import files and depending on how your metadata is provided could fill in your templates.

Another add-in option would be QuickFields.

Hi Craig,

How do you know if Import Agent is installed?  

We have been using Laserfiche for a little over a year and I am trying to have our system pull data a lot faster than my staff having to go in and type in everything over again.

Check with your VAR and see if you have a license for Import Agent (it is an add on depending on your licensing).  If you have it, then it could be installed on a server or workstation and pointed to a drive location and used to import docs into your repository.

That is what I was thinking.  Thank you! My scan vendor wants a copy of the template but I dont believe I can take a template out of the repository/ system. 

However, I was able to export an XML file of the template. I wonder if they will use this for the PDF's they will deliver.

If you have Import Agent, you should definitely look into the list files (XML or LST) to see if the vendor will put the metadata into one of those formats.

We have a vendor who drops PDFs along with an XML into a network folder, then Import Agent reads the XML to retrieve the PDF, set the template, assign field values, etc.

Hello, after placing the customized XML inside a folder with other documents what steps are needed for Import Agent to use/read the XML file and apply metatdata?  Ive attached the XML file we are trying to use.

I would put the tiffs/ pdf's... in a different folder than the XML. Have Import Agent Read the XML from that folder while the XML document references the other folder where the Tiffs will be stored. 

 

I have attached a revised XML that worked for me. As you will see, the XML needs to reference the tiff's location and individual file names in order to do a bulk import.

Update.., I got Import Agent working but it only works with small file sizes. Is there a way to speed up and/ or increase the file size limit. My docs are 9-13 MB each.

You can also use Bluelake's Laserfiche Import product which supports a variety of metadata import file formats including custom. They are on listed on the Laserfiche Marketplace and at www.bluelake.com and have been supporting VARS and service bureaus for 20 years.
