Question

Is there a way to send an email when a Forms task is assigned?

asked on January 23, 2019

I want to be able to send an email to the requester once the task has been assigned.

For example, a resident makes a records request. I have a forms process that after submission, the resident is sent an email stating "we are working on it". I would like to add an extra "customer service" element to the process and notify the resident "that Mary Jones is processing your request".

Is there some event that fires when task assignment takes place?

You could add an email event just prior to the assignment of the task. As soon as the email is sent, the task is then assigned. I use that method in several processes.

I am not quite getting it...I attached a screen of my process. The task is sent to a Team, and a user of the team claims the task.

Sorry, my method was for when a task is directly assigned to a user, not a team. You could simply adjust the email to let the user know that the task has been assigned to a team instead of an individual user. That should satisfy the customer service element you're wanting.

Thanks,

Michael

Sounds like the best route for now.
